Office Support for Professional Associations

PRS specialises in providing economical, efficient and caring office support functions for professional associations. Although PRS uses apparently 'remote' communications technology to provide efficient economical services, it is managed by persons who maintain personal relationships with members and officers of an association. PRS also empathizes with the aspirations and styles of relationships between professional people and deports itself appropriately.

PRS uses communications media especially email, WWW, fax, phone post and so on, across Australia and reaching out overseas, from a base office located near Lilydale, east of Melbourne. Personal meetings with officers of client associations can be arranged as needed where and whenever. PRS has a service office and meeting room in North Fitzroy near Melbourne CBD for use when appropriate.

At present PRS provides full office services on a regular basis for one Australian national professional association [with a membership of over 1200 persons]. PRS occasionally assists other associations and tertiary education institutions especially when such others need conference support, organization of publications services or direct mailings.

PRS has a comprehensive knowledge of all states and regions in Australia and is particularly familiar with all education systems at all levels from pre-school to tertiary.

Membership Services:

PRS provides comprehensive membership services including maintaining membership databases, renewal systems and associated accounting systems. Officers of associations can be supplied with substantial detail about membership and renewals and new memberships are handled promptly and correctly.

Accounting and Book-keeping:

PRS provides a full accounting system for each client association or conference or publication as required. PRS procedures are supervised by its own CPA qualified accountants and the books kept are also audited by the auditors of client associations. PRS prepares cheques for signature by an Hon. Treasurer and others but never has nor will accept signing authority.

Traditional and electronic publishing:

PRS provides a high level of publishing support and expertise ranging from newsletters through journals to books, conference proceedings and other publications including flyers, brochures, charts, computer disks, CD-Rom and WWW sites and special documents. Through a network of professional designers, printers, other production people and a competitive quoting system, PRS manages to obtain the best possible quality at the best price.

Conference Management:

PRS provides an experienced comprehensive national conference organizational capability covering all aspects but especially, budget preparation and planning, preparation of documentation, services at the registration desk during an event and all book-keeping and banking. Professional Convenorship is also available if required. A comprehensive quotation offering a menu of choices for conference committees is available on request. PRS has considerable expertise in direct mail marketing which it can make available to clients of all kinds.

Statistical Analysis Services:

PRS owns and operates IRM [Item Response Modeling] software and other statistical analysis software to analyse test and questionnaire data. PRS is experienced in large-scale precise data collection and services such as are required for scholarship examinations and processing of data from research projects. These services are performed to incredibly high accuracy standards by implementation of fully tested fail-safe data handling methods and extreme care. All data is backed-up and securely stored for disaster recovery if necessary. PRS offers a test marking and analysis service which provides two independent scorings verified before a third marking if necessary prior to computer statistical analysis procedures according to client needs.

Editorial services;

PRS is set up to conduct all pre-press publication processes on newsletters, journals and books. PRS has experience in dealing with matters relating to ISBN or ISSN, legal deposit, copyright [paper or electronic] and Cataloguing in Publication Data and procedures. PRS also arranges Australian Books in Print entries for clients' publications.

How does it work?

Separate telephone, fax handling, post and email services are maintained for each association. Client associations do not need to maintain an office [with staff or not] that might need to move as elected officers of the association change from time to time. [Stability of association location assists inquirers including possible members, to find an association]. PRS is open for 10 hours per day on 6 days of the week and is accessible 24 hours of 360 days each year. PRS or the client association can take out a PO Box which can be cleared by PRS. Physical mail can be dealt with or forwarded as appropriate. Similarly, electronic communications are serviced, or serviced after consultation with office bearers, or forwarded without intervention. All operations are computerised but for association security each association is quarantined from the other. PRS operates an uptodate PC network of computers and uses two Internet Service Providers for itself and for clients. PRS uses its own equipment [faxes, phones, printers, computers and software] for clients by arrangement or the equipment etc., of client associations loaned to PRS if the client prefers.

Charges:

PRS will provide highly competitive quotations for services on request. Charges are a mixture of general service fees and actual costs attributed to client activities. Invoices are rendered monthly but postage for mailing services must be paid in 7 days of the cost being incurred.
